Nonprofit Capital Campaign Management

Hexagonal-Pattern

Experienced Counsel from Planning Through Completion

A successful capital campaign is not simply a series of solicitations. It is a disciplined major-gift fundraising process requiring clear strategy, strong volunteer and executive leadership, careful prospect management, appropriate gift sequencing, consistent follow-through and accountability.

The Huddleston Group provides senior-level capital campaign management and counsel to nonprofit organizations undertaking significant capital, endowment and major-gift initiatives.

We work alongside the organization’s executive leadership, development staff, board and campaign volunteers to establish the strategy and structure necessary to move the campaign from planning through successful completion.

What Capital Campaign Counsel Does

The role of campaign counsel is to keep the campaign strategically focused, properly organized and moving forward.

Depending upon the needs and internal resources of the organization, our work may include:

  • Developing the overall campaign strategy and timetable
  • Establishing campaign leadership and volunteer structure
  • Developing and maintaining the campaign gift table
  • Prioritizing leadership and major-gift prospects
  • Reviewing prospect assignments and cultivation strategies
  • Preparing solicitation strategies for individual prospects
  • Coaching staff, executives and volunteers before major asks
  • Training campaign volunteers and board members
  • Advising on campaign communications and materials
  • Monitoring proposals, asks, commitments and follow-up
  • Conducting regular campaign progress and prospect-review meetings
  • Helping leadership resolve obstacles before they slow the campaign
  • Maintaining campaign discipline, accountability and momentum

Our role is not to replace the organization’s relationships with its donors. It is to help leadership use those relationships strategically and effectively.

Leadership Gifts Come First

Successful campaigns are built from the top down and from the inside out.

Before a broad public campaign begins, the organization should be securing commitments from those closest to the mission and from the prospects capable of making the largest gifts.

That requires disciplined attention to the campaign’s top prospects.

Campaign counsel helps leadership determine:

  • Who should approach each prospect
  • What level of gift should be considered
  • Whether additional cultivation is necessary
  • When the prospect is ready to be asked
  • Who should participate in the solicitation
  • How the proposed gift should be positioned
  • What follow-up should occur after the meeting

The objective is not simply to schedule more meetings. It is to move the right prospects toward meaningful commitments at the appropriate time.

The Quiet Phase

The quiet phase is often where a campaign’s ultimate success is determined.

During this period, the campaign structure is established, volunteer leadership is recruited, the strongest prospects are cultivated, and a substantial percentage of the campaign goal should be committed before broad public fundraising begins.

The Huddleston Group helps organizations maintain the discipline required during this critical period rather than announcing a campaign prematurely.

Campaign Management Requires Accountability

Major campaigns can lose momentum when prospect assignments are unclear, follow-up is inconsistent or leadership begins concentrating on activity rather than results.

We establish clear responsibilities, priorities and deadlines.

Regular prospect-review meetings focus on questions such as:

  • What has happened since the last meeting?
  • Which prospects have advanced?
  • What is the next action?
  • Who is responsible for that action?
  • When will it occur?
  • What obstacles are preventing progress?
  • Which solicitations should occur next?

That accountability keeps the campaign moving and helps leadership make adjustments before delays become significant problems.

Building Leadership While Raising Money

A well-managed campaign should strengthen the organization while it raises money.

Campaigns provide an opportunity to deepen relationships with major donors, identify future volunteer leaders, strengthen board involvement and build a more sophisticated culture of philanthropy.

Our objective is therefore broader than reaching the immediate financial goal. We want the organization to emerge from the campaign with stronger relationships, stronger fundraising practices and greater capacity for future major-gift fundraising.

Senior Counsel Works Directly with You

The Huddleston Group was founded in 1988 and operates as a selective, senior-led consulting firm.

Ron J. Huddleston, CFRE, FAHP, and Alan G. Sherwood work directly with clients. Organizations are not sold an engagement by senior executives and then assigned primarily to junior consultants.

That structure provides clients with direct access to experienced counsel when important campaign decisions must be made.

When Should Campaign Counsel Be Engaged?

Ideally, campaign counsel becomes involved before the public campaign begins.

For many organizations, the relationship begins with an independent Campaign Planning & Feasibility Study. If the study supports moving forward, campaign counsel can then help translate those findings into the quiet-phase strategy, leadership structure, gift table, prospect plan and solicitation process.

Organizations already engaged in a campaign may also benefit from counsel when momentum has slowed, major prospects are not advancing, volunteer leadership needs strengthening or the campaign requires a strategic reset.
